Hello. Today I’m going to show you capturing invoices from ABBYY FlexiCapture to SharePoint.

Now what you see in front of you is a SharePoint site. And you can see here we have a library. And in this library, we have no files yet. So what we’re going to do is go into ABBYY FlexiCapture, we’re going to load some invoices.

We’re just going to pick a few here. What the system is going to do now is review the invoices and extract the details that we want it to and that will include things like business unit, vendor, totals and line items for us.

So you can see here it’s recognizing it and now it’s completed so we’ll go ahead and take a peek at these invoices here and you can see on the right, what the software extracted and on the left, a copy of the image that we had. You can see we capture anything form the type of invoice that we have to the business unit, the vendor, invoice number and invoice date, totals. If there’s a purchase order, we can also look up a purchase order and do some validation on that.

And then of course, we have our line item details here. So let’s take a peek at these other ones as well, and you can see very similar things. You know, different pieces of information that we extracted. And now that they are extracted, what we can do is simply export these. And when they export, we will have them directly inputted into SharePoint. And so once this is complete, we will go refresh our SharePoint document library. And you will see those in there.

Okay, they are now completed. What we would do, is we will go into SharePoint and we will refresh our screen and you can see there we have those invoices. Not only do we have a copy of the actual invoice that we can pull up but we have, if we go back here, a copy of the different metadata items that we pulled off including things like who the vendor was, invoice number, invoice amount, etc..

Hello. Today I’m going to show you how to connect to ABBYY FlexiCapture to IBM FileNet P8.

What I’m going to do is load a few invoices here and we’re gonna let the software extract the details off of them including invoice header information and line items.

Once they’re completed, we can go ahead and take a peek at them. You’re going to see information is automatically extracted such as Business Unit, Vendor, our Invoice Number and Invoice Date. As I highlight these fields, you can see they turn yellow over here. Invoice Amounts. Most impressively, we were able to grab all of these line item details here off of this invoice.

We’ll go ahead and take a peek at the other ones and you can see here we automatically find the Business Unit, the Vendor Invoice Number, Date, et cetera. On our last invoice we can do the same as well. Once again, finding the Business Unit, the Vendor, the Invoice Type, whether it’s an invoice versus a credit note and the Amounts, the Currency and the line items.

At this point, we can go ahead and export them.

What the software is in the process of doing right now is connecting to IBM FileNet P8 and putting these documents into their correct object store that we selected.

Now that they are completed, I can open IBM FileNet P8, display all of the invoices, and here you see a list of the invoices that we just committed. You see a Title of the document, the Vendor ID, the Vendor Name, the Invoice Number and the Invoice Total. We can use these fields and this data to run reports or to find items at a later time.

And of course, we have a copy of the document, the copy of the actual invoice can be seen by clicking on the document and here is a copy of that invoice that we have in our repository.

As you can see, this saves us a bunch of time organizing our invoices and putting them into a repository that is reliable and searchable at a later time.

ABBYY FlexiCapture for Purchase Orders Video

Hello. Today I’m going to show you ABBYY FlexiCapture for purchase orders. The idea of this application is that we can efficiently process purchase orders, combine them into our ERP systems or accounting systems, and get them efficiently moving through our organizations.

So, what I’m gonna do is I’m gonna load a few images. We’re just gonna make sure these are POs that we’re gonna process. Now, what the process is doing now, or what the software’s doing now, is it’s looking at this purchase orders and determining who the seller is, who the buyer is, and different pieces of that purchase order. Dates, and amounts, and line items, et cetera.

So, you can see here, it’s processed two out of three, and it’ll finish up that third one very quickly, and we’re gonna start taking a look at these. We can determine the business unit, or the seller, who’s the selling party internally that the purchase order is intended to go to. We can determine who the buyer is, and you can see we can drill down and even do some database look ups and then determine who the buyer is and seller. We can find the purchase order dates, the amounts, even different currencies, of course the purchase order number, and definitely one of the things we want to make sure we grab are all of these line item details. Now, these can spur on for pages and pages, and we will find them. Anything highlighted in red here is the software just simply asking you as a human to determine that what it brought back was accurate. So, it wants to make sure that this 100A is actually what we see on the document itself. We can determine here that that is correct.

We’re gonna look through some of these other purchase orders and talk through them. Here’s one where we captured the buyer and the seller, and it wants again the date. Now, when I highlight the field, you will highlight where it found it. So, for example, our order date, found the order date here in yellow. For the amount, it highlights here in yellow where that amount is. We also have our line item detail. We’ll look at this last one here very shortly, and we see our seller, our buyer, our purchase order date, amount, currency, purchase order number, and our line item details.

So, the idea of this application is that we can efficiently process purchase orders. We can find things very easily. Just a matter of clicks, we can be sending these purchase orders into our ERP or accounting systems, and really making our customers happy by efficiently processing their POs and making our staff happy because we don’t have to type every single line item and every single piece of detail that we find on this document.
