ABBYY FlexiCapture

ABBYY Flexicapture is a forms processing and document capture system produced by ABBYY, USA. The system includes support for fixed forms, semi-structured forms, and unstructured forms. The latter two categories are managed through the creation of something called a Flexilyout template which is then imported into the tool called the document definition editor. The document definition editor runs inside the administration console and the document definition editor is the only tool required to configure fixed form processing. Flexicapture comes in two architecture types, stand-alone and distributed. The distributed installation is the product selected by most customers and this runs in the Windows IIS environment providing true client / server functionality. Distributed provides robust web-based document capture to your entire enterprise through a web browser. User licensing on the distributed version is concurrent which keeps licensing costs at a reasonable level. The stand-alone product is an all-in-one Windows application which can run either on a Windows workstation or a server. This version is geared towards a single user processing lower volumes of documents.

Flexicapture includes many powerful off the shelf features include export to SharePoint, export to a database, export to Excel, automatic folder import (watched folders), and automatic import via an email account. There are also many ready to run projects available including invoice processing through which line items can be extracted and then exported to your ERP system. Other available options are support for the extraction of repeating groups and table data, such as the line items on a purchase order.

    1. Understand the Interaction of the System Components

    FlexiCapture distributed has several primary components that will typically run on separate servers. Understanding the interaction of the components is critical to understanding and fully utilizing the FlexiCapture software.

    The main FlexiCapture Application Server contains the system monitoring components along with the websites and user security. Also installed on the Application Server, will be the Processing Server which is responsible for the distribution of workloads off to the Processing Station(s).Processing Stations are used for their CPU resources to perform the actual OCR recognition work and are intended to be separate environments from the Application Server. FlexiCapture Distributed also requires the use of a SQL Server Database. This database can be collocated on the main Application Server, however it is strongly recommended that the database is hosted on a dedicated, enterprise grade database server to ensure that proper performance and database maintenance policies are in place.

    UFC's offering of ABBYY FlexiCapture for Purchase Orders will automate accounts receivables processes in order to reduce the costs and turn-around time with processing orders.

    Hello. Today I'm going to show you ABBYY FlexiCapture for purchase orders. The idea of this application is that we can efficiently process purchase orders, combine them into our ERP systems or accounting systems, and get them efficiently moving through our organizations.

    So, what I'm gonna do is I'm gonna load a few images. We're just gonna make sure these are POs that we're gonna process. Now, what the process is doing now, or what the software's doing now, is it's looking at this purchase orders and determining who the seller is, who the buyer is, and different pieces of that purchase order. Dates, and amounts, and line items, et cetera.

    So, you can see here, it's processed two out of three, and it'll finish up that third one very quickly, and we're gonna start taking a look at these. We can determine the business unit, or the seller, who's the selling party internally that the purchase order is intended to go to. We can determine who the buyer is, and you can see we can drill down and even do some database look ups and then determine who the buyer is and seller. We can find the purchase order dates, the amounts, even different currencies, of course the purchase order number, and definitely one of the things we want to make sure we grab are all of these line item details. Now, these can spur on for pages and pages, and we will find them. Anything highlighted in red here is the software just simply asking you as a human to determine that what it brought back was accurate. So, it wants to make sure that this 100A is actually what we see on the document itself. We can determine here that that is correct.

    We're gonna look through some of these other purchase orders and talk through them. Here's one where we captured the buyer and the seller, and it wants again the date. Now, when I highlight the field, you will highlight where it found it. So, for example, our order date, found the order date here in yellow. For the amount, it highlights here in yellow where that amount is. We also have our line item detail. We'll look at this last one here very shortly, and we see our seller, our buyer, our purchase order date, amount, currency, purchase order number, and our line item details.

    So, the idea of this application is that we can efficiently process purchase orders. We can find things very easily. Just a matter of clicks, we can be sending these purchase orders into our ERP or accounting systems, and really making our customers happy by efficiently processing their POs and making our staff happy because we don't have to type every single line item and every single piece of detail that we find on this document.

    ABBYY FlexiCapture is a comprehensive forms processing and document capture solution. It includes standard import features for scanning documents, receiving documents from email, processing images from a watched network folder, and manually processing images. Standard export features include output of files to a wide variety of formats, enterprise content management systems, and Microsoft SharePoint. The product is available in two types of architecture depending upon your needs. The standalone system is for a single user processing smaller volumes of documents from a single workstation. The distributed version is the scalable client-server application that runs in Microsoft IIS. This distributed flavor provides for large scale processing of large volumes of documents spread across multiple servers for load balancing and failover in a Microsoft Server cluster.  Within the standalone and distributed installation types are additional considerations including whether there is need to process fixed forms, semi-structured forms, or unstructured forms.     When you think of the word 'resolution' what do you think of? Maybe you think of New Year's resolutions, or maybe you think of resolution in the context of business law or mathematics. Or maybe you think about the British royal navy ships built in the 1600's and 1700's that bore the name of HMS Resolution. However, for the capture and document management world, most of us usually think of resolution in conjunction with image measurement which describes the detail an image holds. Simply stated, a higher resolution means more image detail. But determining how much detail is enough and understanding that there are trade-offs between detail, costs, and system performance are important points to consider when you are dealing with data capture and integrated document management systems.
    Typically measured in DPI (Dots per Inch), resolution is a measure of how many pixels are contained in a given inch of linear space. A pixel is a single point in an image composed of varying values of red, green and blue. To put it simply, a pixel is one point of color. For example, a 300x300 DPI image will contain 300 pixels each horizontally and vertically for a total of 90,000 pixels per square inch of image. The higher the pixel density, or DPI, of an image, the more detail that image contains and generally speaking the better it will look. As a side note, it can be easy to confuse DPI with image size, such as the numbers often expressed for computer displays. A 1024x768 computer display is not an expression of its resolution, but rather the total number of pixels in the display.
    But enough of the technical image resolution jargon. What does all of this mean to you and your scanning operation? Well, it means that determining the proper image resolution is not straight forward and that there are several things to consider: storage sizing, accuracy of processes such as Optical Character Recognition (OCR), document transmittal time, scanning time, and end user viewing quality. With each of these factors affecting the other it can be difficult to strike a balance.

This trend towards the adoption of invoice processing software by companies of all sizes has created a trend in which this labor saving software has almost become a commodity much like word processing software.

    There is little doubt that the ECM market is being redefined by Microsoft SharePoint®. Microsoft describes its newest release as “The Business Collaboration Platform for the Enterprise and the Web”. This release comes with hundreds of new features including upgrades to collaborative content functionality, better metadata driven navigation, and a faster interactive search experience to name a few. With the new release of SharePoint, more and more organizations are starting to jump on the SharePoint bandwagon. It has launched data collaboration and records management into the limelight, highlighted the importance of image and data capture tools, and turned ECM into an infrastructure play.

    But we all know that SharePoint alone can’t meet all of the ECM needs of an enterprise. Microsoft’s strategy has always been to build platforms which satisfy the majority of common requirements but leave open a pool of other requirements that are addressed by third-party products. In the case of SharePoint, it needs third-party applications to fill in a number of voids by supplying key ECM capabilities (such as data capture and transactional content management).

    One requirement that SharePoint does not address is in the area of capturing paper documents. Paper documents need an efficient way to get into the SharePoint repository. This includes accurately building index data and correctly storing the documents within the associated SharePoint library. None of these tasks are handled out of the box by SharePoint.

    Summary: Anyone new to data capture will be faced with an immediate decision of choosing either a fixed or semi-structured approach to extraction of data from a form. What constitutes a fixed form versus semi-structured and what are some guidelines for distinguishing them in ABBYY FlexiCapture?

    One day, my office phone rang from someone who saw information about our products on our company web site. As a new sales person tasked with selling document capture, I was used to answering these type of calls; but this time the caller threw in an interesting spin. They needed ballpark pricing right now. They then went on to explain that they needed to extract data from a particular document and export it to a database. I began to ask them about their document and how the information was laid out on the page. Was the information always in the same position on the page, or did it move around from document to document? Were there multiple versions of the document and what was the annual page volume that they expected? These qualification questions were required because of the nature of the product I was going to recommend depended very closely upon the type and location of the data to be extracted from the form. Once I determined that they were most likely looking at a form in which the data moved around from document to document I was able to provide them with the ballpark pricing they required. Without that information, a verbal estimate would have been impossible. Why? As you will learn in this article, the structure of document is extremely important in determining the type of technology used to extract data from within the documents.
